Lead Patient Coordinator

The Lead Patient Coordinator is responsible for overseeing the patient's experience from the initial contact through treatment and follow-up, ensuring that all administrative processes run smoothly. This role serves as a primary point of contact for patients and supports the front-office team, promoting a professional, patient-centered, and efficient environment.

Essential Responsibilities:

  • Manage patient scheduling, including appointments, cancellations, and reschedules, to optimize provider time and patient convenience
  • Greet patients warmly and professionally upon arrival, ensuring they feel welcomed and cared for
  • Lead by example to maintain efficient and high-quality front-office operations through effective planning, organization, and team guidance
  • Oversee the daily flow of office activities, ensuring tasks are completed efficiently and patient wait times are minimized
  • Facilitate patient flow by following check-in protocols, monitoring delays, and communicating with patients and clinical staff
  • Register new patients and update existing patient demographics, collecting detailed personal, medical, and financial information
  • Enforce HIPAA regulations and protect patient confidentiality
  • Train and mentor new patient coordinators on office procedures, patient management systems, and customer service best practices
  • Provide continuous coaching and development to front-office staff to enhance skills and performance
  • Relay messages for providers and staff accurately and in a timely manner
  • Maintain a clean and organized front office and reception area, ensuring a professional and welcoming environment
  • Manage front-office supplies, mail processing, and ensure office opening and closing procedures are followed
  • Support the team with administrative projects or coverage during absences or high-volume periods
  • Perform other duties as assigned by management or the dental team to support daily operations

Requirements

Qualifications & Experience:

  • High school diploma or GED required; additional healthcare or administrative coursework is a plus
  • Knowledge of dental office software and practice management systems
  • Minimum 35 years of experience in a dental or medical office setting
  • Demonstrated leadership skills, including mentoring experience
  • Exceptional communication and interpersonal skills, with a strong focus on patient service
  • Ability to multitask, prioritize, and maintain professionalism in a fast-paced environment
